How do I know what Tasks I need to complete for my clients?

Vacation Creations comes pre-populated with milestone tasks (reminders) you need to do for your clients trips. These reminders can be found by clicking the CLOCK icon when viewing your clients reservation. You should view these tasks at the time you’ve entered a trip into Vacation Creations. If any tasks don’t apply to the reservation, you can easily click the box to mark it complete. Once marked complete, you will not receive the automated reminder.

Should I fill in the information (Facebook/IG, Phone number, time zone, etc.) in my profile in Vacation Creations?

Yes! The information like your Facebook group & Instagram account links, along with your phone number will then populate in the emails the client receives after they’ve booked with you. Entering this information in your profile will allow the client to click on the social media icons in these emails and will then take them to your platforms.

I’ve booked a personal trip for myself. Do I have to do anything special?

You should still enter your booking into Vacation Creations. For personal trips, be sure to make yourself the lead passenger with the supplier (Disney, Universal, etc.) as well as within Vacation Creations. You should also identify the Reservation as your booking by clicking the “100% commission to agent” and “Agent Personal Trip” toggles. As a reminder, there is a minimum goal you must reach prior to receiving the full 100% back. If you have not yet reached this goal, you will still earn the 60% back.

Should I enter a client in as a lead even if I don’t think they will book with me?

Yes. Entering clients into Vacation Creations will allow you to build your client base to market to. While someone may not book right now, there is potential for them to book in the future. If their information is in Vacation Creations they can be included in different marketing efforts. This could potentially lead to a sale for you in the future.

Where can I find my clients credit card and CVV number?

Once your client has filled out the credit card form, this information will be found in Vacation Creations for you to use for their payments. To access their full credit card number, click on the PAYMENT CARD icon when in your client customer profile. This will show you the last 4 digits of the card on file. Click on the card information and a box will appear. This box will make you unmask the card before allowing you to see the full number. Follow the instructions to unmask it. To obtain the CVV code, you will need to return to the FORMS icon. Under the listing of forms, you will see a listing of your sent forms. Click on the blue eye and when the screen opens, scroll down. Your 3 or 4 digit code will be listed here.

Once your client has decided to book their vacation with you, there are two forms they will need to fill out: 1) Self Service Form and 2) Credit Card Form. These forms can be found by pulling up your client under CUSTOMERS in Vacation Creations. Select the FORMS icon and determine the correct credit card form that needs to be sent based on what your client is booking. Click the purple arrow to send to your client or the blue eye if you’d like to look at the form. Next, select the SELF-SERVICE icon and click on SEND NEW INVITATION link. Your client will be sent invitations to fill these out and return them securely to Vacation Creations.
